POSITION DESCRIPTION
Reporting to the Business Development Manager (BDM) and the Principals of Safetech, the Junior Proposal Coordinator (Jr. PC) is required to have an excellent working knowledge of Safetech’s corporate structure, personnel roles, qualifications and experience and all of Safetech’s various service offerings provided to clientele within Ontario and other regions of Canada. The Jr. PC is required to take ownership and responsibility for all Request for Proposals (RFP), Request for Qualifications (RFQ), Request for Information (RFI), Vendor of Records (VOR) and other requests related to Safetech’s qualifications and experience. The PC will focus on preparing and submitting the necessary documentation in accordance with the requirements and timelines necessary to win public and private RFP, RFQ, RFI and VOR and to pre‐qualify with select organizations. The position will require the PC to work collaboratively with Safetech’s various Regional, Satellite and Operations Managers (RMs, SMs, OMs), the BDM and Principals, and personnel from affiliated/sister companies, where required.
Essential Job Functions
- Research and monitor online tender websites daily for potential projects and new online RFP opportunities.
- Register Safetech as a vendor on websites where tenders are posted.
- Retrieve and review requirements in proposal and tender documents and consult with appropriate parties (i.e., BDM, RM/SM/OM, Principal‐in‐Charge) to determine if preparing a submission is suitable.
- Lead the proposal generation process on behalf of Safetech. Evaluate submission requirements, timelines, compliance, and content requirements including attendance at mandatory meetings.
- Generate and write proposal sections including introduction, executive summary, technical sections, CVs, organizational charts, project experience and other sections as required by the specific RFP parameters.
- Generate, update and manage documents (e.g., corporate profiles, project profiles, personnel CVs, etc.) that align with Safetech’s corporate branding and that can be reused on new RFPs.
- Ensure RFPs, templates and other submission documents are well organized and managed in a centralized RFP folder.
- Produce spreadsheets documenting each RFP submitted with details for each RFP outcome in order to track success rates.
- For successful RFPs, follow‐up with client groups to determine project generation process and to ensure all relevant parties are aware of Safetech’s service offerings and key representatives for the RFP scope.
- For unsuccessful RFPs, arrange and conduct RFP debriefs to capture and analyze feedback. Provide outcome to the Safetech team and revise format/approach to ensure continuous improvement.
- Produce monthly reports to the BDM and the Principals of Safetech, outlining pending RFPs, competed RFPs, wins, losses and cancelled opportunities.
- Ensure employees have the necessary security clearance for RFPs by managing Safetech’s employee security clearances on a Municipal, Provincial and Federal level.
- Assist the BDM with other business development tasks.
- Maintain a good standing with any professional association and/or professional designation.
Education and Experience Requirements
- Minimum 1‐years job related experience in marketing, technical writing and business development/sales.
- Minimum 2‐year college Diploma in Marketing considered an asset.
- Relevant certifications and experience in environmental consulting considered an asset.
- For those without a relevant educational background, relevant professional development courses will be required within the first year of employment.
Ability Requirements
- Proficient in Microsoft Office, Google Docs, Adobe Acrobat, and Unanet A/E Clearview InFocus.
- Excellent verbal and written communication skills.
- Good relationship building skills for fostering and maintaining cooperative working relationships with clients and procurement professionals.
- Superior time management, multi‐tasking and organizational skills necessary to work on multiple projects concurrently.
- Strong initiative and self‐motivation necessary to work with little direction.
- Able to thrive in a fast‐paced work environment.
- Able to work evenings, weekends and holidays, when required.
- High level of attention to detail, strong organizational abilities and excellent follow‐up skills.

Pay: $50,000.00-$55,000.00 per year
